What to look for
- Decide first whether you need a governed semantic layer (Looker, GoodData) or fast visual exploration (Tableau, Power BI). Retrofitting metric governance onto a tool built for exploration is a multi-quarter project.
- Check where compute happens. Warehouse-native tools (Sigma, ThoughtSpot, Looker) push cost onto your Snowflake or BigQuery bill; extract-based tools (Qlik, Sisense) move it into the licence. Model both before comparing quotes.
- Read-only seats are where BI budgets break. Per-user pricing that looks fine for 20 analysts becomes the largest line item once 500 viewers get access, so price the end state rather than the pilot.
- Data science platforms split into automated (DataRobot, H2O.ai) and open-ended (Databricks, Dataiku, KNIME). Automation buys speed for teams without research staff and costs control for teams that have it.
- If you are embedding analytics in a product you sell, that is a different purchase from internal BI. Multi-tenant row-level security, white-labelling and API access matter more than the chart library.
- Notebook tools (Hex, Deepnote, Posit) complement rather than replace BI. They are where analysis happens; the dashboard layer is where conclusions get published and monitored.
